What information we collect

Account data: email address, and account details created if you register through our WordPress store.
Usage data: files you upload for transcription, translation or dubbing, and the resulting output files, stored on Microsoft Azure infrastructure.
Job and billing history: jobs submitted, credits purchased and consumed.
Payment data: processed entirely by Stripe. We do not store your card details.
Technical data: standard web usage data collected via cookies and analytics tools.

How we use your information

To provide the transcription, translation and dubbing services you request.
To manage your account, credits balance and billing history.
To send you service-related emails (job completion, password reset, account inactivity warnings).
For analytics and advertising purposes, where you have consented via the cookie banner.

Legal basis for processing

We process your data based on performance of a contract, your consent (marketing/analytics cookies), and our legitimate interest in operating and securing the platform.

Third-party services

Microsoft Azure (Sweden Central / West Europe) — hosting, file storage, speech-to-text, translation, email delivery.
Stripe — payment processing.
Google Analytics, Meta (Facebook/Instagram) Ads, TikTok Ads, Google Ads — only with your consent.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. If you do not select "Remember Me", your session ends after 1 hour of inactivity or when you close your browser. If you select "Remember Me", your login will persist for one week from the moment you log in; shortly before the end of that week you will be asked whether you want to stay logged in. Screen options cookies last for a year. If you log out of your account, the login cookies will be removed, and you will be logged out of the Sonavo app and of all other open tabs of this website in the same browser.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email.

Data retention

For users that register on our website, we store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Accounts inactive for 335 days receive a warning email; at 364 days, a final warning; at 365 days of inactivity the account, all associated jobs, and all files stored in Azure Blob Storage are permanently deleted.

What rights you have over your data

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Minors

Sonavo is intended for users aged 18 and over. We do not knowingly collect or process personal data from individuals under 18.

Data security

We use reasonable technical and organizational measures (encrypted storage, access controls on Azure infrastructure) to protect your data, but no system is 100% secure.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email or a notice on the platform.

Terms and Conditions

1. Acceptance of Terms

By creating an account or using Sonavo (the “Service”), operated by SC KARIBAS SRL, you agree to these Terms and Conditions. If you do not agree, do not use the Service.

2. Description of the Service

Sonavo is an AI-powered platform for transcription, translation and dubbing of text, audio and video files.

3. Eligibility

You must be at least 18 years old to use Sonavo.

4. Account Registration

Accounts are created either directly on the app or through our WordPress store at sonavo.net. Accounts created via WordPress purchase authenticate through single sign-on (SSO); accounts may also set a direct password where supported. You are responsible for keeping your credentials secure.

5. Credits and Payments

Access to processing features is granted through a credit system. Credits are purchased through our WordPress store via Stripe. Credits are deducted based on the type and length of the job submitted. New accounts receive a welcome bonus of credits. Credit purchases are non-refundable, except where a refund is required by applicable law. This does not limit mandatory consumer rights or correction of erroneous payments. Service credits returned after failed processing are distinct from cash refunds. See our Refund and Returns Policy for details.

6. User Content

You retain ownership of the files you upload. By uploading content, you confirm you own the rights to it or have permission to have it processed, and you grant us a limited license to process it solely to provide the Service. We do not claim ownership of your content.

7. Acceptable Use

You agree not to upload content that is illegal, infringes third-party rights, or violates applicable law. We reserve the right to suspend accounts that violate this policy.

8. Service Availability

The Service is provided “as is.” We do not guarantee uninterrupted or error-free operation, and processing quality depends on third-party AI services (Microsoft Azure Speech and Translator).

9. Limitation of Liability

To the maximum extent permitted by law, SC KARIBAS SRL is not liable for indirect, incidental, or consequential damages arising from use of the Service.

10. Account Termination and Inactivity

We may suspend or terminate accounts that violate these Terms. Additionally, accounts inactive for 365 days are automatically deleted along with all associated jobs and files, following prior warning emails at 335 and 364 days of inactivity.

11. Governing Law

These Terms are governed by the laws of Romania.

12. Changes to These Terms

We may update these Terms from time to time. Continued use of the Service after changes constitutes acceptance.

Refund and Returns Policy

Sonavo is operated by KARIBAS SRL, VAT number RO36276091. We sell digital credits for transcription, translation and dubbing services. No physical goods are shipped.

Our commercial policy

Credit purchases are non-refundable, except where a refund is required by applicable law. We do not offer discretionary cash refunds for a change of mind, unused credits or credits already consumed by a processing job.

Your statutory rights

This policy does not limit any mandatory consumer rights, including applicable withdrawal rights or remedies for digital services that do not conform to the contract. Buying credits does not, by itself, waive those rights. Any loss of a withdrawal right applies only when the requirements of applicable law have been met, including any required express consent and acknowledgement.

Failed jobs and billing errors

Credits returned to your Sonavo balance after a failed processing job are a service-credit adjustment, not a cash refund. If a payment is duplicated or charged incorrectly, contact us so that we can investigate and correct it. A credit adjustment does not replace a monetary remedy where the law requires one.

Contact and exceptional refunds

Contact contact@sonavo.net with your order number and a description of the issue. Please do not send card details. Any monetary refund that is legally required or corrects an erroneous payment is reviewed by an administrator, returned through the appropriate payment channel, and accompanied by any required invoice correction.
